How to reconnect, disconnect or delete an inbox

What Needs attention means, how to reconnect a Gmail, Outlook, IMAP or WhatsApp inbox, and the difference between disconnecting and deleting.

An inbox that has lost its connection appears under Needs attention in Settings, Inboxes, with a reconnect button. Reconnecting keeps everything: conversations, notes, assignments, tags and the read state choice. Disconnecting stops the sync; deleting removes the inbox's data from Sektra. Mail in Gmail, Outlook or your mail server is never touched by either.

Why an inbox needs attention

  • Gmail or Outlook: the Google or Microsoft grant was revoked, the account password changed, or the organization's policy expired the token. Sektra shows Reauthentication required.
  • IMAP: the mailbox password changed or the host refused the login. Sektra shows Login refused.
  • WhatsApp: the provider rejected the credentials, or the webhook stopped delivering.
  1. Find the inbox

Go to Settings, then Inboxes. Inboxes that need attention sit above the connected ones, with the reason.

  2. Reconnect a Gmail or Outlook inbox

Choose Reconnect and sign in with Google or Microsoft again, using the same account as before. Sektra refuses a different account so the inbox cannot be swapped by mistake. No re-import happens; syncing resumes where it stopped.

  3. Reconnect an IMAP inbox

Choose Reconnect and enter the current mailbox password. The saved servers and logins are reused, and your sync preferences are kept. Syncing resumes once the mail server accepts the password.

  4. Reconnect a WhatsApp number

Enter the current provider credentials. The number keeps its conversations and templates. If the provider's webhook was removed, paste the Callback URL from the inbox settings page back into the provider.

  5. Disconnect an inbox

On the inbox's settings page, the Danger zone card has Disconnect. Syncing stops in both directions and nothing new arrives. The conversations already in Sektra stay readable. Reconnect later to resume.

  6. Delete an inbox

Delete inbox, in the same card, removes the inbox and everything in it from Sektra: all emails, threads and data. It cannot be undone. The mailbox itself is untouched.

What a reconnect does not change

The read state choice (Shared or Separate) was made at connect time and is locked. A reconnect cannot change it, and the dialog does not offer it again. The import does not run a second time, so a reconnect never brings in a second copy of history.

Who can do this

The inbox owner, inbox admins, and account owners and admins can reconnect, disconnect or delete. Members with access see the connection card read only.

Contact support
Will disconnecting delete our mail?

No. Disconnecting only stops the sync. Mail stays in Gmail, Outlook or on your mail server, and what is already in Sektra stays readable. Delete inbox removes the Sektra copy; the mailbox is never touched.

Do I lose the memory layer if I reconnect?

No. The memory layer, the record Sektra keeps per client of commitments, open questions and history, belongs to the account, not the connection. Reconnecting resumes where the sync stopped.
