Email reply generator for professional customer replies
A professional email reply works when it is short, does one job and leaves a line for the specific detail. Pick the situation, fill in the names and the details that change, choose a tone and copy the reply. Everything runs in your browser.
How it works
- Pick the situation. Pick the situation from the list: an acknowledgment, a refund, a delay, a pricing question or one of thirteen more.
- Fill in the details. Fill in the customer's name, yours and the details the situation needs, such as a reference number, an amount or a date.
- Choose a tone. Choose plain, warm or formal. The greeting and sign-off change; the facts stay the same.
- Write the specific line. Copy the reply and replace the bracketed line with one sentence about what the customer wrote. That line is what shows a person read the message.
What makes a reply template work
- Short. Two to four sentences, because a customer skims a reply on a phone.
- One job. An acknowledgment acknowledges; a refund confirmation confirms the refund.
- A blank for the specific detail. A reference number or a date forces the sender to look it up.
- A line the sender writes fresh. Every reply here has one in brackets, and it is the sentence that proves a person read the message.
The templates here follow those four rules and stay under 90 words. Canned responses for customer service has the longer library and the habits that keep one tidy.

Where templates live in Gmail, Outlook and shared inbox tools
Gmail's templates are off by default. Turn them on under Settings, See all settings, Advanced, Templates. Then write a reply, open the three-dot menu in the compose window and choose Templates, Save draft as template. Each account keeps its own, so a team library means copying text around.
Classic Outlook on Windows has Quick Parts under Insert, stored on that computer. The My Templates add-in keeps short templates with the mailbox in new and classic Outlook and on the web. Neither is shared with the team unless everyone works from one mailbox.
A shared inbox keeps one library, visible to everyone who answers from that inbox. Look for an optional subject, placeholders filled from the thread and a rule that can send a template when a message matches.
How Sektra reply templates and assistant drafts work
Sektra keeps one library of reply templates shared across the team, with an optional subject on email, inserted from the composer on email, WhatsApp and live chat. Save a reply from this page as a template once, and every teammate can insert it.
The assistant drafts replies in the thread's context and in the writer's tone, reading what the customer wrote and what the team promised. A person reads the draft, edits it and sends it. For settled cases, a rule an admin set can send a template reply when a message matches, such as the outside business hours reply above.
On WhatsApp the templates work inside the 24-hour reply window; outside it, only Meta-approved message templates are delivered. See WhatsApp in Sektra and the product page.
Questions, answered
Writing, tone and where the replies go. If your question is not here, ask us.
What is a customer service email reply template?
A saved reply for a message the team answers the same way every week, with blanks for the details that change. Gmail calls them templates, and shared inbox tools call them saved replies or snippets.
How do I write a professional reply that does not sound canned?
Keep it to two to four sentences with one job, fill every blank, and add one sentence about the customer's specific message. The replies here leave that sentence in brackets so it cannot be skipped.
Can I use it for any professional email reply?
Yes. The follow up, meeting request, closing the loop and need more information replies work for colleagues, suppliers and clients alike. Pick the formal tone for someone you have not written to before.
Does the generator use AI?
No. Every reply is a fixed template filled from the form, built in your browser. Nothing you type is sent anywhere. In Sektra, the assistant drafts a reply from the thread itself, and a person sends it.
Can I use these replies on WhatsApp or live chat?
Yes. Drop the greeting and the sign-off, and the body reads well in a chat. On WhatsApp, a reply inside the 24-hour window goes as free text; outside it, only an approved message template is delivered.
Which tone should I use?
Match the customer. Plain for a client you write to every week, warm for a first-time customer or a complaint, formal for a procurement or legal contact. The facts in the reply do not change with the tone.
Save it once, and the team sends it
Sektra keeps reply templates shared across email, WhatsApp and chat, and the assistant drafts each reply in your tone from what the thread says.
