Action items template and tracker
An action item is one task with one owner and one date, written down where everyone can see it. Use the template below for meeting notes, or track items in the browser and export the list to Excel or Sheets.
How to use it
- Write it as an action. Write each action item as a verb phrase: "Send the revised proposal", not "Proposal".
- One owner, one date. Give it one owner and one due date. Items without a date are wishes.
- Record the source. Note the meeting, call or email where it was agreed, so anyone can find the context later.
- Review every meeting. Open the list at the start of every meeting. Mark finished items Done and keep them, so the record stays complete.
What is an action item?
An action item is a single task agreed in a meeting, call or email, with a named owner and a due date. What sets it apart from any other task is where it comes from. An action item is a promise made in a conversation, and it is tracked so that the promise is kept.
The action items template
- Action item: a verb phrase that says what will exist when it is done.
- Owner: one person, by name.
- Due: a date, never a week or a quarter.
- Status: open, in progress, waiting on client or done.
- Source: the meeting, call or email where it was agreed.
The tracker above has the same five columns and downloads as CSV. Tracking commitments in email covers the items that never reach a meeting: the ones agreed in a reply.
Action items by meeting type
- Client kickoff: access to request, the brief to confirm, the first deliverable and its date, the reporting format.
- Weekly status: what moved, what is blocked and who unblocks it, what is due before the next call.
- Quarterly business review: next quarter's goals as items with owners, the open commitments carried over, the date of the next review.
The rolling action item list
A rolling action item list is one list that carries open items forward from one meeting to the next. Each meeting starts with the open items, closes what is done and adds what is new. The tracker above is a rolling list: items stay until you mark them done, and the done items stay as the record.
Questions, answered
Definitions, Excel and how far AI can take this. If your question is not here, ask us.
What is an action item?
A single task agreed in a meeting, call or email, with one owner and one due date, written so the owner knows exactly what to do.
What is the difference between an action item and a task?
An action item comes out of a conversation and carries a promise to another person. A task is any unit of work in a plan. Every action item is a task; the reverse is not true.
How do you track action items from meetings?
Write them during the meeting with owner and date, and read them back before the meeting ends. Keep them in one rolling list and review that list at the start of the next meeting.
Is there an action item tracker for Excel?
Yes. Track items here and download the CSV. It opens in Excel or Google Sheets with item, owner, due date, status and source columns.
Can AI track action items from meetings?
For the ones that are written down, yes. Sektra's assistant reads client email and WhatsApp threads, finds the commitments and deadlines in them and turns them into action items with reminders. Meeting recordings are not a channel it reads.
What is a rolling action item list?
One list that carries open items from meeting to meeting. Items are added as they are agreed and stay until done, so nothing agreed three meetings ago disappears.
Action items agreed by email never reach the sheet
Sektra's assistant pulls them out of every client thread, with owner and date, and watches the deadlines for you.
