How to invite teammates and what each role can do

Invite people from Settings, Team, give them access inbox by inbox, and understand what the owner, admins, inbox managers and members can do.

Teammates are invited by email from Settings, Team, and each one uses a seat. Access is granted per inbox after they join: an admin sees every shared inbox, a member sees the inboxes they have been given. Only the account owner handles billing.

  1. Check your seats

Billing, then Overview, shows seats in use against what the plan allows. An invite is held against the limit until it expires or is accepted. An accepted invite adds the seat to your subscription at once, charged pro rata for the rest of the period.

  2. Send the invite

Settings, then Team, then Invite teammate. Enter the email address. The invite appears in the pending list with who sent it until it is accepted.

  3. Give access to inboxes

Open each shared inbox under Settings, Inboxes, and use Manage access to pick who can read and reply from it. An inbox always keeps at least one teammate with access. Admins have access to every shared inbox without being added.

  4. Set what they see on day one

In Shared read mode, a new teammate on a shared inbox starts from the owner's read state at the moment access is granted. Point them to Your first hour with Sektra.

  5. Remove someone

Settings, then Team, then the row menu, then Remove. The seat stays billed until the next renewal and is reduced then. Inviting them back before that cancels the reduction.

Roles

  • Owner: the person who created the workspace. Everything an admin can do, plus billing: choosing and changing the plan, the payment method, buying credits and canceling. Only the owner creates inbox groups.
  • Admin: manages the team, every shared inbox's connection, teammates and settings, reply templates, and tags. Shown with an Admin chip on the Team page.
  • Inbox manager: a member given manage rights on one inbox. Can reconnect it, edit its tags, templates and assignment rules, and manage its teammates, without seeing other inboxes.
  • Member: reads and replies from the inboxes they have been given, and manages their own signatures, notifications, digest and reminders. The Team page shows them with a Member chip.

Personal inboxes

Every seat includes one personal inbox. Only its owner sees it; admins do not. A personal inbox appears in its owner's Unified Inbox and Mine.

Away

Anyone can set themselves Away from the avatar menu in the top bar: Until I'm back, Until tomorrow or Until Monday. Auto-assignment skips Away teammates and the Team page shows an Away chip.

Contact support
Does an invite use a seat before it is accepted?

It is counted against the plan's seat limit so the team cannot over-invite, and it is added to your subscription when it is accepted.

Can two people share one login?

No. Each person has their own login and seat. Sharing a login breaks assignment, read state, mentions and the per-teammate analytics.
